Duties:

Summary/Objective:

Supports property and lease services for company owned assets. Weekend and off hours work required on occasion

Essential Functions include:

-Support property management and lease administration services for company owned assets
-Maintains ongoing vendor relationships
-Supports Real Estate acquisitions and disposals throughout contract negotiations, due diligence, and closing
-Supports operational, capital and project budgets
-Support Facilities process development
-Manage Facilities Communications
-Assists in Facilities / Security budgets
-Supports space planning
-Manages Employee Tracker as part of the Employee Lifecycle Process
-Manages Office Space Software
-Manages Asset Depreciation Software
-Invoice control – organize and route invoices for payment
-Maintain Insurance certificates and spreadsheet log
-Expense report reconciliation
-Schedule vendors and ensure completion of work for: water, coffee, vending machines etc.
-Arrange for usernames and passwords with vendors for: office supplies, business cards, rubber stamps etc.
-Manages internal work orders using Service Manager
-Front desk coverage as needed
-Help Desk / First point of contact for Facilities requests
-Filing
-Backs up Property Manager as needed
-Assists in Facilities On-call as needed

Qualifications:

Required Education and Experience:

-High school diploma or equivalent
-1-2 years of facilities/administrative experience
-Proficient with Microsoft Office
-Basic building maintenance skills
-Verbal and written communication skills
-Current driver’s license and safe driving record.

Work Environment: This job operates in an office setting and routinely uses standard office equipment

Physical Requirements: Sitting frequently, walking frequently, use of hands frequently, hearing constantly, talking frequently, exerting up to 10 lbs of force occasionally and up to 25 lbs of force infrequently to lift, carry, push, pull, or move objects.

Position Type/Expected Hours of Work: Full time / 40 hours per week
